Islet Group was involved in devel­op­ing a work time appli­ca­tion for KEHA Cen­ter, which sim­pli­fies the work­ing time log­ging process and improves user expe­ri­ence. The appli­ca­tion was devel­oped in col­lab­o­ra­tion with Microsoft as part of the mod­ern dig­i­tal work envi­ron­ment renew­al project. 

The Devel­op­ment and Admin­is­tra­tive Cen­ter for ELY Cen­ters (KEHA Cen­ter) is a nation­al agency with a staff of approx­i­mate­ly 800 experts across Fin­land. The employ­ees of KEHA and ELY Cen­ters, num­ber­ing about 3700, log their work­ing time sev­er­al times in a work­day. The gov­ern­ment admin­is­tra­tion’s eKieku-appli­ca­tion was par­tic­u­lar­ly chal­leng­ing and time-con­sum­ing when log­ging hours on work phones, as tech­ni­cal issues hin­dered smooth usage.

A solu­tion was found when KEHA Cen­ter test­ed Pow­er Apps devel­op­ment in con­junc­tion with build­ing Microsoft­’s Pow­er Plat­form man­age­ment mod­el. One of the cho­sen low-code pilot tar­gets was the chal­leng­ing time log­ging process.

Mika Vaha­la, Lead Spe­cial­ist from KEHA Cen­ter’s Infor­ma­tion and Dig­i­tal­iza­tion divi­sion, explains the prob­lem: “The time log­ging event itself is sim­ple, but each per­son signs in/​out four times a day, i.e., in the morn­ing, dur­ing lunch, and in the after­noon. When there are thou­sands of peo­ple, it means a sig­nif­i­cant use of time each day.”

The staff of KEHA Cen­ter and ELY Cen­ters have adopt­ed the new work time appli­ca­tion enthu­si­as­ti­cal­ly. The new Pow­er Apps appli­ca­tion does not require a VPN con­nec­tion, elim­i­nat­ing one inter­me­di­ate step in mobile use, mak­ing time log­ging faster and eas­i­er. The appli­ca­tion works not only on work­sta­tion browsers but also on Android and iOS mobile devices.

The app was imple­ment­ed in KEHA Cen­ter’s Infor­ma­tion and Dig­i­tal­iza­tion divi­sion in col­lab­o­ra­tion with Microsoft and Islet, as part of the dig­i­tal work­ing envi­ron­ment renewal.

This inno­v­a­tive solu­tion not only saves time but also improves user expe­ri­ence and employ­ee sat­is­fac­tion. The imple­men­ta­tion of the appli­ca­tion is a tes­ta­ment to KEHA Cen­ter’s com­mit­ment to cre­at­ing a mod­ern and effi­cient work envi­ron­ment that sup­ports the orga­ni­za­tion’s goals and enhances over­all productivity.

Ben­e­fits of the solution:

  • Time sav­ing: The dura­tion of time log­ging has sig­nif­i­cant­ly shortened.
  • Ease of use: A sim­ple user inter­face and smooth oper­a­tion make the app user-friendly.
  • Option­al: The new app works along­side eKieku time log­ging, which pro­vides an alter­na­tive in case of any disruptions.
  • Reli­a­bil­i­ty: The app oper­ates sta­bly and has received pos­i­tive feed­back from users.

The most impor­tant aspect of devel­op­ing the work time appli­ca­tion was com­bin­ing tech­no­log­i­cal agili­ty with user-cen­tric design. The new solu­tion address­es every­day chal­lenges and brings con­crete ben­e­fits, such as time sav­ings and improved user expe­ri­ence, to its wide user base. This is an excel­lent exam­ple of how data-dri­ven devel­op­ment and mod­ern low-code tools can enhance pub­lic sec­tor oper­a­tions. Even with a rel­a­tive­ly small invest­ment, sig­nif­i­cant sav­ings can be achieved, along with increased effi­cien­cy and work satisfaction.
